The purpose of the President’s Associates is to recognize annual outright, annual cumulative, and endowed unrestricted gifts exclusively for the Office of the President. These gifts are used by the University’s president at his or her discretion.  Some examples of ways these funds have been used include supporting initiatives to attract and retain the brightest students and faculty, offer innovative academic programs, support important research initiatives, and respond to opportunities and sometimes emergencies that arise during the academic year.

President’s Associates Members

Established in 1972 by a group of alumni and friends, President’s Associates are an influential community of donors who support strong leadership at the University and believe that the University is an engine of progress for all Texans. President’s Associates include alumni from across campus, as well as Texas-minded citizens from across the country, who share one common goal – to help UT continue its role as the state’s leading center of knowledge and discovery.

President’s Associates understand the importance of their discretionary support, which enables UT’s leadership to respond quickly to opportunities and needs throughout the academic year.

Types of President’s Associates Memberships

Basic Membership

  • A minimum annual unrestricted gift of $2,000 to the Office of the President or the University’s area of greatest need for joint or single member recognition.
    (Formerly: $1,000 prior to September 1, 2008; and $500 prior to September 1, 1996)

Junior Membership

  • A minimum annual unrestricted gift of $750 to the Office of the President or the University’s area of greatest need from a donor 35 years of age or younger for joint or single member recognition. ($500 prior to September 1, 2008)

Faculty/Staff Membership

  • A minimum annual unrestricted gift of $750 to the Office of the President or the University’s area of greatest need from an active or retired UT Austin faculty/staff member for joint or single member recognition. ($500 prior to September 1, 2008)

Endowment Membership

  • Beginning in 2001, Endowment Membership is extended to donors who create a permanent endowment with a minimum funding level of $25,000 to be designated for discretionary use by the Office of the President.

Excellence Level Membership

  • Beginning in 2011, Excellence Level Membership is extended to donors who create a President’s Excellence Fund Endowment of a minimum of $100,000 to be designated for discretionary use by the Office of the President. This endowment creates the greatest flexibility of use. Prior to September 2011, donors who created PA Excellence Fund Endowments received Endowment Membership.

Also beginning in 2011, donors whose lifetime unrestricted giving to the Office of the President reaches $100,000 are also extended Excellence Level Membership.

Endowment members and Excellence Level members receive lifetime membership in the President’s Associates. PA endowments and PA excellence funds may be established with an outright gift or a pledge with twenty percent down and payable over five years.

Donors that were previously given Endowment Membership because of an endowment designated to a CSU or split between the Office of the President and a CSU, established before September 2005, will continue to be honored as Endowment members.

Additional Benefits
In addition to President’s Associates benefits, establishing a President’s Associates Endowment or President’s Excellence Fund Endowment qualifies the donor for:

  • Membership in the Littlefield Society. The Littlefield Society is UT’s most prominent recognition society and honors donors who have contributed $25,000 or more to the University.  Additional information on the Littlefield Society can be accessed at https://giving.utexas.edu/our-donors/littlefield-society/.
  • Mailing of annual financial statement of the endowment’s long-term fund growth from The University of Texas Investment Management Company (UTIMCO) and the University Development Office.

Larry R. Faulkner Endowed Excellence Fund
Beginning September 2005, donors that have given or pledged $25,000 or more to the Larry R. Faulkner Endowed Excellence Fund, established in 2002, are given Endowment membership in the President’s Associates, in honor of their commitment to the University. These members will receive all the above benefits.

Former Membership Categories

Life Membership
This category of membership is no longer granted: Prior to 1994, donors who gave a minimum $5,000 unrestricted gift to the Office of the President were granted “lifetime membership,” meaning that they are acknowledged as members annually regardless of continued annual giving. These individuals remain listed among all members in the roster until they decease.

Extended Life Membership
This category of membership is no longer granted. In 2009 the Extended Life involvement code was eliminated and Extended Life members were coded with the Life members code. Prior to 2001, donors who gave or pledged a minimum of $10,000 unrestricted to the Office of the President were granted “lifetime membership,” meaning that they are acknowledged as members annually regardless of continued annual giving. These individuals remain listed among all members in the roster until they decease.

Membership Year
Membership in the President’s Associates is for a period of one academic year beginning September 1 and ending August 31. Gifts postmarked after August 31 will be recognized the following academic year. For example, donors who send in their qualifying gift between September 1, 2006 and August 31, 2007 will be granted membership immediately and through the full 2007-2008 academic year. Gifts received after August 31, 2007 will be granted membership immediately and through the full 2008–2009 academic year.

Membership benefits are granted as soon as a qualifying gift is received. Therefore, donors who send in their gifts early in the academic year will receive an extra period of benefits. These extended benefits serve as an incentive to join or renew early.

Benefits of President’s Associates Membership

Membership in the President’s Associates serves an opportunity to connect to the University at a more exclusive level. Donors will receive regular and timely information about the University not available to all University constituents, access to UT leaders and fellow donors, and recognition of the contribution. The following benefits are coordinated by the University Development Office for all President’s Associates qualifying gifts:

Recognition

  • A listing in the President’s Associates member roster published annually and sent to all President’s Associates members, as well as online.
  • An acknowledgment letter personally signed by the University president in appreciation of the gift.
  • The President’s Associates program has suspended the offering of certificates to members as of June 2003.

Information

  • Members receive the president’s annual State of the University Address delivered each September via email or print. This annual report detailing their vision for the university and strategic initiatives, noting the progress of the previous academic year and outlining priorities for the current year.
  • Members receive @Texas, an online newsletter highlighting university news distributed by the University Communications.
  • Members are sent “Changing the World,” a newsletter showcasing the ways in which our donors make the University a better place. This publication is distributed by the University Development Office as an insert in the Texas Exes’ Alcalde magazine (sent to all Texas Exes members) and via email.
  • Special communications throughout the year to keep donors informed of important UT priorities and events.

Access

  • Invitations to special events at the University and other venues with the president, University leaders, and fellow donors, and may include a pre-football game reception hosted by the president.

Cumulative Gifts
Donors who make unrestricted gifts to benefit the Office of the President or University area of greatest need will receive President’s Associates membership once their giving reaches the qualifying amount in the given academic year.

Matching contributions
Matching employer contributions may be used to meet the President’s Associates minimum gift level or to add to the minimum gift.

Donors should include the matching gift form provided by their company’s human resources department when making their gift.

Pledges

Annual pledges
A donor’s annual membership may be obtained through completion of an annual pledge. Pledges may be accepted at any time in the academic year for monthly or quarterly payments. However, all pledges must be completed by August 31 in order to qualify for President’s Associates membership.

Endowment pledges
A President’s Associates Endowment or Presidential Excellence Fund may be established with an outright gift or pledged over a five year period.

Once a President’s Associates endowment is established, a donor may continue building its value by directing annual gifts to it. Donors should note this intent on their gift when communicating with the President’s Associates program.

Endowments
Please include Tod Francis and Melissa Petrek in the communications loop when establishing any President’s Associates endowment to ensure proper recognition of the donor in the President’s Associates program. Endowments are recognized by purpose: unrestricted support of the president, and are not required to include “President’s Associates Endowment” in the title of the gift although this language is preferred.

Methodology

Solicitations
Invitations to join President’s Associates are extended via direct mail, phone, on-line and personal visitation. The primary solicitation strategy is developed by the President’s Associates staff in the Development Office. An annual calendar of solicitations can be obtained from the President’s Associates staff.

Gift and Data Services
The Gift and Data Services area of the Development Office processes all President’s Associates gifts. Gifts received are recorded in the *VIP donor and alumni database according to the standards described in other sections of this document. President’s Associates involvement codes are automatically added to donor records or updated, when qualifying gifts have been made, by a program run each night. The President’s Associates program staff are informed daily of qualifying gifts for acknowledgment and stewardship through the President’s Associates Eligible List page on *VIP. This list includes qualifying gifts solicited through President’s Associates or Annual Giving direct mail and Phonathon appeals, on-line gifts, and personal visitation, as well as unsolicited gifts.

Coding

The President’s Associates program uses several codes to manage membership, to solicit prospects and renewals, and to track activity.

President’s Associates Involvement Codes
Involvement Codes are the primary means of tracking and reporting membership. These codes are updated automatically overnight when a gift is processed. These codes are used for tracking, segmenting and reporting on the membership.

The following codes are the standard codes and descriptors used for President’s Associates records since September 2003 (at which time all previous member records were updated):

Basic
Donor over 35 years old gives within the academic year for membership the following academic year. Benefits begin on the date of the gift. $2,000 or more cumulative during academic year.

Acknowledgment and Stewardship

The President’s Associates acknowledgment process includes a thank-you letter with a personal signature from the president. President’s Associates staff members may also personally visit or phone members who support the Office of the President to express appreciation, provide further information on how gifts are used, and to cultivate relationships with these donors.

Office of the President and University’s Area of Greatest Need gifts receive an automated gift receipt from Gift Processing.
